WhatsApp and other channels

When you contact us on WhatsApp or similar platforms, your messages and certain metadata are also processed by the platform provider, such as WhatsApp and its parent company Meta. Their use of your data is governed by their own terms and privacy policy.

Who we share your data with

We share your information only with trusted service providers and partners who help us deliver our services, such as hosting providers, payment processors, and communication tools, and only under appropriate confidentiality and security commitments.

Cookies and tracking

This Privacy Policy is issued by Swift (“Swift”, “SwiftTek”, “we”, “us”, or “our”). SwiftTek is a brand of Swift and represents our public-facing brand identity.

This Privacy Policy explains how we collect, use, share, and protect personal information when you use:

  • Our websites that link to this Privacy Policy (the “Sites”)

  • Our products and services made available through those Sites

  • Our mobile applications

  • Our official presence on messaging platforms and marketplaces, including where applicable WhatsApp Business / WhatsApp Cloud API and other third-party online marketplaces

This Privacy Policy does not apply to any website, product, or service that has its own separate privacy policy.

Swift is committed to collecting only the minimum information necessary, using it fairly and transparently, and giving you meaningful control over your data.

We do not make money from advertising and do not sell your personal information.

Part I – Information Swift Collects and Controls

1. Information that You Provide to Us

Note: We will typically not store your full card number. We may store the cardholder’s name, billing address, expiry date, and the last four digits of the card number. For faster future payments, and only with your consent where applicable, payment information may be stored in encrypted form by our payment gateway service providers.

d. Testimonials

If you authorize us to publish a testimonial, we may display your name and any other personal information you choose to provide. You will have the opportunity to review and approve the testimonial before it is published.

e. Interactions with Swift

Once collected, this information may remain with us even if you later remove it from the platform.

4. Information from Communication Channels (including WhatsApp)

When you contact or interact with us through messaging platforms, such as WhatsApp or similar services:

Platform processing

Your messages, phone number, delivery/read status, and other metadata are processed by the platform provider, for example WhatsApp LLC / WhatsApp Ireland Ltd. and Meta Platforms, under their own terms of service and privacy policies.

Use of WhatsApp Business / APIs

We may use WhatsApp Business, WhatsApp Cloud API, or similar solutions to send and receive messages, including support messages, notifications, and service updates.

Storage and use in our systems

The content of your messages and related data may be stored in our systems, for example in a CRM, helpdesk, or ticketing system, in order to:

  • Respond to your request

  • Maintain records

  • Improve our services and support

No ads from your messages

We will not use your WhatsApp message content to display third-party advertising.

We encourage you to review the privacy policy and terms of service of WhatsApp, or any other messaging platform you use to contact us.

5. Purposes for Using Your Information

In addition to the specific purposes described above, we use your information to:

  • Provide, operate, and maintain our products, services, and Sites

  • Set up and administer your accounts

  • Enable collaboration and features within our services

  • Communicate with you about products and services you use, security or policy updates, and important service announcements

  • Send you information about new products, features, events, and offers, where permitted by law and your preferences

  • Request feedback and invite you to participate in surveys

  • Understand usage patterns and improve our user experience

For Service Data associated with your account, as explained in Part II, we generally:

  • Keep data in active systems while your account is active

  • After you terminate your account, delete active data within six (6) months

  • Delete corresponding backup data within three (3) months after that

Legal requirements or technical constraints may sometimes require different retention periods, but we will always handle your data in accordance with applicable law.


Part II – Information that Swift Processes on Your Behalf (Service Data)

This part applies when you, as a customer or user, use our services to store or process information about other individuals, for example your own customers, users, or employees.

1. Service Data Entrusted to Swift

“Service Data” means information that you or your organization submit to our services and that we process on your behalf, such as:

  • Contact information for your customers, users, or employees

  • Content stored in your account, such as records, tickets, messages, or files

  • Data synchronized from third-party systems or mobile apps

Certain mobile applications may, with your permission, access:

  • Contacts

  • Camera

  • Photos

  • Location

You can control such access through your device settings. Data accessed or stored through our apps is handled as Service Data.

2. Ownership and Control of Service Data

You, or your organization, are the controller of your Service Data. We act as a processor, or equivalent role under applicable law.

You remain responsible for:

  • The accuracy, quality, and legality of Service Data

  • Obtaining any necessary consents or legal permissions from data subjects

We provide you with controls to:

  • Access and manage your Service Data

  • Configure sharing and permissions

  • Export or delete Service Data, subject to applicable law and technical constraints

3. How We Use Service Data

We process Service Data only:

  • To provide and operate the services you have requested

  • According to your documented instructions and settings

  • To maintain and improve the security, availability, and performance of the services

Examples include:

  • Using customer details you store to generate invoices or deliver communications

  • Sending emails to mailing lists you create

  • Processing support tickets you open

We do not use Service Data for our own marketing or for unrelated purposes.

Sub-processors and service providers

Who help us deliver the services, for example infrastructure providers, backup services, and email delivery platforms, under written agreements requiring them to protect Service Data and process it only for our documented purposes.

Third-party integrations

That you enable when you choose to connect our services with other tools. In such cases, you are responsible for reviewing and accepting the third party’s privacy practices.

We do not use Service Data for advertising and do not sell it to third parties.

6. Retention of Service Data

We hold Service Data in your account for as long as your account is active or as needed to provide the services.

After you terminate your account:

  • Service Data will generally be removed from active systems within six (6) months

  • Related backup copies will be removed within three (3) additional months, in line with our backup cycles

You may request earlier deletion of Service Data, subject to applicable law and technical constraints.

7. Data Subject Requests Relating to Service Data

If we process your personal data as Service Data on behalf of one of our customers, for example your employer or a service provider you use, we will direct you to contact that customer, as the relevant controller, to exercise your rights.

We will support our customers, as required, in responding to such requests.


Part III – General

1. Children’s Personal Information

Our products and services are not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16.

2. Security of Your Information

We take the security of your information seriously and implement appropriate administrative, technical, and physical safeguards designed to protect it against unauthorized access, use, alteration, or destruction.

While no system can be guaranteed to be completely secure, we strive to maintain a level of security appropriate to the risks.

Some browsers offer a “Do Not Track” (DNT) setting. At this time, there is no accepted standard for how websites should respond to DNT signals, and our Sites do not currently respond differently to such signals.

7. External Links

Our Sites may contain links to third-party websites or services. Your use of those websites and services is governed by their own privacy policies, not this one.

We recommend reviewing their policies before submitting any personal information.

8. Blogs, Forums, and Public Content

We may offer publicly accessible blogs or forums. Any information you choose to post there may be read, collected, and used by others.

9. Social Media Widgets
